Patients and other organisations need to be able to contact the NHS, to see or speak to the right person who can give them the help they need. That could be booking an appointment, getting advice or paying an invoice.

Administration Officer

Fairnington Centre, Hexham General Hospital

Job summary

A full time post has arisen within the Administration Community Treatment Team based within the Fairnington Centre at Hexham General Hospital. The Post holder will ideally have experience of working in similar work environment and previous secretarial experience is essential due to the demands of the role.

The post holder will be working alongside the Administration Team Lead with allocated duties to support the clinical staff and wider service. A good knowledge of Microsoft packages and typing qualifications is essential for this role.

The successful applicant will be working as part of a team to provide an effective and efficient administrative service to our clinical staff, including taking telephone calls, inputting referrals, monitoring waiting lists, allocating appointments, sending appointment and outcome letters, updating our patient information system, taking notes at meetings and working from a shared team inbox.

The post holder will be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to ensure they participate on all relevant training courses appropriate to the role.

Main duties of the job:

  • Secretarial or administrative experience working within a team.
  • Experience in a customer or patient and service user focused environment.
  • Excellent communication and interpersonal skills, including good verbal and written communication skills.
  • Excellent IT skills / a good understanding of the RIO system (please note – training given to those who have not worked on this system before).
  • A good knowledge of Microsoft word/office packages and typing skills (typing qualifications or experience desirable).
  • Minute taking skills or willingness to learn (full training and support will be provided).
  • Well organised and structured and able to work to deadlines.
  • Ability to be self-directed, motivated and be able to contribute positively within a team.
  • The post holder will be expected to demonstrate flexibility in the role.
